College/Department Information
The Department of Social Sciences includes over 350 students in six undergraduate degrees and two graduate degrees. The department's undergraduate degrees are in Criminal Justice; Health, Society, and Policy; Nonprofit Leadership and Administration; Political Science: and Social Work, and Sociology. The programs two graduate degrees are a Master of Arts in Intelligence and Security Studies and a NASPAA-accredited Master of Public Administration program.

Job Summary
The position serves as the primary contact and coordinator for the office of the Department of Social Sciences and the department's Master of Arts in Intelligence and Security Studies. These duties include providing administrative support to the Chair of the Department of Social Sciences through assisting with all departmental budgets, managing purchasing including maintaining and tracking purchases using the department's p-card, making travel arrangements for faculty, preparing travel reimbursement statements, assisting with program reports, and assisting with faculty and staff hiring.
The position also provides administrative support to the Director of the department's Master of Arts in Intelligence and Security Studies through coordinating the program's admissions process, processing graduate assistant contracts, assisting students with registration in Banner, and other tasks need to run the growing graduate program.
Responsibilities
The duties include, but are not limited to:
ASSIST DEPARTMENT CHAIR: Maintain personnel files; schedule meetings and appointments; prepare correspondence; maintain office functionality; assist with marketing and other document creation; assist with preparing reports; process e-pars and other paperwork for faculty and staff hiring.
BUDGET: Monitor and reconcile all budget accounts in the department; monitor salary and fringe expenses; generate monthly budget reports for all of the department's accounts; generate other reports requested by the Chari and the Dean's Office; create projections and forecasts of annual expenses; assistant the Chari with the annual budget requests; generate check requests for reimbursement use and maintain the department's P-Card.
ASSIST DIRECTOR OF THE MAISS PROGRAM: MAISS: Master of Arts in Intelligence and Security Studies' Maintain graduate assistant records; schedule meetings and appointment; help students with registration issues in Banner; assist with advising sheets for students; assist and maintain graduation applications; maintain student records,; maintain MAISS website and social media; create promotional materials for MAISS; help with program events.
COORDINATE AND MANAGE DEPARTMENT ACTIVITIES: Coordinate travel arrangements and reimbursements for chair and department faculty; compile information for annual reports and other department records; provide assistant to faculty including ordering textbooks, making copies, and managing room assignments.
MANAGE FRON OFFICE & ASSIST STUDENTS: Provide customer services to students, faculty, staff, and community in-person, via email, and on the phone.
OTHER DUTIES: Perform all other job-related duties as assigned.
Required Qualifications
Associate's degree from an accredited college or university and four years of progressively responsible experience in administrative support positions.
OR
High School Diploma/GED or equivalent from a recognized state or federal accredited organization and seven years of directly applicable experience. A bachelor's degree is preferred.

Pay Band: B5
Salary: Minimum $17.88/hour
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
