The Executive Assistant will support the day-to-day operations of both the Office of the Chief Financial Officer and the Office of the General Counsel. General operational support will include answering the main phone line in both offices and taking messages when appropriate; picking up mail for both offices, opening, and distributing mail; composing emails and correspondence for both offices; assisting with general clerical, purchasing, office management, and office budgeting activities; managing the appointments and calendars of the CFO, General Counsel, and other staff in those offices; and other related duties as assigned.

Specific tasks related to the CFO’s Office include:

Assisting with the yearly payment of property taxes for TU-owned properties.
Assisting the CFO and Director of University Budgets with the generation and distribution of TU’s yearly operating budget.
Assisting the CFO and Director of University Budgets with routine financial and budget reporting for our division.
Assisting with creation of materials and agendas for meetings of the Board of Trustees’ Resources and Efficiencies, Audit and Risk Management, and Investment committees.
Assisting with special projects and other tasks, as requested.

Specific tasks related to the Office of the General Counsel include:

Assisting with payment and tracking of legal expenses.
Providing administrative and logistical support for Board of Trustees meetings, including scheduling, supporting the preparation of agendas and materials, taking minutes, and providing meeting notices.
Assisting with responses to subpoenas and discovery requests.
Assisting with legal file and document management.
Required Qualifications
Required Qualifications:
3+ years of experience as an Executive Assistant, Senior Executive Assistant or other experience supporting executive-level leadership
Full comprehension of office management systems and procedures
Excellent knowledge of MS Office
Proficiency in English
Exemplary planning and time management skills
Up-to-date with advancements in office applications
Ability to multitask and prioritize daily workload
High-level verbal and written communications skills
Discretion and confidentiality
High School degree or GED
Preferred Qualifications
Preferred Qualifications:
Specialized certifications or qualifications as a personal assistant would be a plus
Physical Demands
Typing/Keyboarding: Proficiency in typing and using a computer keyboard for extended periods.
Speaking: Ability to communicate effectively both verbally and in writing.
Reaching: Ability to reach for items on shelves or in cabinets.
Manual Dexterity: Ability to use hands and fingers to operate office equipment, handle files, and perform other tasks.
