Position Summary:

The Enrollment Counselor is the primary point of contact for all inquiries and applications for open enrollment non-credit courses and programs in the College of Professional Studies (CPS). They are responsible for building and maintaining relationships with prospective enrollees that span the enrollment lifecycle, from inquiry to registration. General responsibilities include actively recruiting new students for the programs via telephone, e-mail, live chat & texting inquiries, application monitoring, and conducting telephone/zoom meetings and other outreach recruitment activities. While providing top-notch customer service, this individual guides applicants through the process of discerning whether CPS’s programs meet their personal and professional goals, completing the enrollment requirements, and submitting any necessary enrollment materials. The Enrollment Counselor assists with developing and implementing strategies for recruiting and yielding diverse prospective students.

Other responsibilities include assisting in the planning and implementation of open houses, information sessions, student visits, and other recruitment activities; assisting with updating the Admissions section of website; providing feedback on the enrollment funnel to college leadership and the marketing team and performing other duties and special projects as assigned by the Director of Enrollment, Professional Education.

The Enrollment Counselor oversees the transition of newly enrolled students to the Professional Education student services team to ensure a seamless handoff for onboarding.

Duties and Responsibilities:

PROSPECT COMMUNICATION and MANAGEMENT

• Utilizes Slate CRM and other technology applications as applicable to manage inquiry and enrollment process

• Proactively reaches out to inquiries and applicants to understand their personal and professional goals, assist them in making an informed decision as to whether the courses and programs in the portfolio are a right fit; answer questions, make connections and provide superior service to showcase the Villanova difference and drive growth in enrollments

• Monitors the daily progress of prospective students within the recruitment “funnel” to ensure follow-up is timely and personal. Updates Director on trends and interests of prospective students regarding skills, competencies, etc.

• Analyzes data, strategizes and executes based on data to improve conversion rates throughout all stages of the enrollment funnel. Creates progress/status reports as requested by college leadership and the Director.

• Communicates effectively and professionally with prospective students via phone, email, online chat, texting and in person about the enrollment process and program offerings.

• Participates in community, University, business and other recruiting events to promote CPS and provide presentations about CPS

APPLICATION and ENROLLMENT SUPPORT

• Utilizes Slate and other technology applications as applicable to receive and process enrollments and supplemental materials for each student for CPS non-credit programs.

• Maintains prompt communication with enrollees and applicants ensuring they are aware of the status of their enrollment.

• Collects and routes transcripts for evaluation, if needed

• Encourages program enrollment (select non-credit) by providing ongoing communication with applicants regarding their enrollment status.

• Records and tracks enrollment activity.

• Follows up with enrolled students to answer questions, discuss CPS program differentiators and encourage enrollment at CPS. Assists with other activities that support student yield as appropriate.

COLLEGE and UNIVERSITY COLLABORATION

• Maintains familiarity with the University catalog, CPS academic programs, and all service and social aspects of the University.

• Connects with Faculty Program Coordinators, subject matter experts and other University offices as needed to stay abreast of updates/changes to degree/ programs/ courses.

• Seeks information and solutions.

• Provides feedback from and on prospective students to inform marketing campaigns or plans.

• Assists with planning and executing open houses, information sessions, student visits, and other recruitment activities.

NONESSENTIAL JOB FUNCTIONS

• Performs additional duties and assists with special projects as assigned.

Minimum Qualifications:

Formal Education

• Bachelor’s degree required. Master’s degree preferred.

Minimum Work Experience

• Must have at least 2 years of relevant work experience.

Specific Job Knowledge

• Candidates must have experience in recruitment of an adult population or experience in professional sales.

• Must have exceptional customer service orientation and ability to build relationships with professionals of all backgrounds.

• They must have demonstrated success in recruiting initiatives and/or sales and a track record of success in quantifying results.

• Experience and understanding of non-credit academic programs, experience with recruiting for campus and online programs, experience recruiting for non-credit programs is a plus.

• They must have strong communication skills and be a strong brand ambassador.

• They must have experience managing projects, deadlines, and priorities.

• Must be able to make decisions in a fast-paced environment and handle multiple priorities across the College’s programs.

Work Skills

Candidate must have strong organizational, time management and relationship management skills with demonstrated ability to work as a team player.

• Results-oriented individual who can anticipate and identify problems and opportunities and take decisive action to proactively address them.

• Excellent written, oral communication, interpersonal and collaboration skills; strong organizational, problem solving and decision-making skills are required.

• Candidates must have the ability to establish and maintain long-term relationships.

• The candidate selected must also communicate professionally and efficiently within a fast-paced environment.

• The candidate must be proficient in all standard computer applications, including Microsoft office products, extremely proficient in Microsoft Word and Excel.

• General knowledge of office principles and procedures is required. Knowledge of Slate is a plus.

Preferred Qualifications:

• Master’s Degree

• 4+ years of relevant work experience

Physical Requirements and/or Unusual Work Hours:

• The candidate must be able to shift their schedule to work outside working hours on select days.

• Alternating schedules will be shared among other Enrollment Counselors to accommodate inquiries received in the evening.

• The candidate may also need to participate in events with CPS on occasional nights and weekends.
