Job Summary

The Administrative Assistant 3 performs complex administrative duties relating to the operations of Audit, Compliance, Ethics, and Risk Management (ACERM). The Administrative Assistant will be responsible for maintaining confidentiality while performing tasks that support the VP, Chief Audit Officer, and the AVP of Ethics and Compliance.

Responsibilities

Duties Include, but are not limited to:

PROGRAM SERVING MINORS: Serve as administrative support for Programs Serving Minors, including but not limited to managing box folders, data entry, assist with physical audits as requested by the Project Coordinator. Assist with coordinating training as needed. Serve as a backup for the Project Coordinator when on leave.

GENERAL ADMINISTRATIVE DUTIES: Provides executive-level administrative support in the daily activities of ACERM leadership, including developing reports, agendas, minutes, presentations, etc.; maintains ACERM leadership calendars through coordinating/scheduling meetings, organizing electronic files, maintaining the department's reference library, and managing other office duties as necessary. Serve as liaison between department and institutional contacts. Produces and distributes internal and external communications for the department. Serve as Property Control Officer for the division, responsible for maintaining and monitoring equipment inventory and facilitating space inventory. Serve as a backup building coordinator for HS floor 3. Serve as backup for the Business Operations Specialist for the department in PeopleSoft financials and Peoplesoft HR. Acts as website administrator for the department's web pages, including annual needs assessment and updating as needed/requested. Works on high-level projects/initiatives with the direct supervisor and/or department staff. Coordinates travel arrangements and processes travel requests and expense statements for staff. Coordinates programs, events, or conferences by arranging facilities and catering, controlling event budget, coordinating speakers, and issuing invitations and information. Oversees employee on/offboarding and orientation activities such as key control/badge access, phone assignment, signage, meeting and committee requests, etc.

OTHER DUTIES: Performs other duties as assigned.

Required Qualifications

Bachelor's degree from an accredited college or university and two (2) years of progressively responsible administrative support experience

OR

Associate's degree from an accredited college or university and five (5) years of directly applicable experience

OR

High School diploma, GED, or equivalent from a State or Federal accrediting organization and eight (8) years of directly applicable experience.

Preferred Qualifications

Preferred qualifications include an associate or bachelor's degree from an accredited college or university in a related field and a minimum of three years of progressively responsible experience in an administrative support position with advanced computer software skills in Word, Excel, and PowerPoint.

Knowledge, Skills, & Abilities

KNOWLEDGE

Proficient in Microsoft Office and other computer software/ databases.

Knowledge of basic operations associated with networks, applications, operating systems, and desktop/ mobile computing.

SKILLS

Excellent interpersonal, written, and verbal communication skills.

Detail-oriented with strong organizational, prioritization, and customer service skills.

ABILITIES

Ability to maintain confidentiality.

Ability to maintain a professional work environment.

Ability to be flexible and able to exercise sound judgement.

Shift/Salary/Benefits

Shift: Days; Monday-Friday

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
