Position Description
The Staff Assistant is responsible for assisting the 30-35 members of the Mathis-Benoist lab, including the two Principal Investigators, regular staff, postdoctoral fellows, students and others. Although this position entails specific tasks, the Staff Assistant works in the same office and in conjunction with the lab manager; the two individuals cross-cover each other when needed. The Staff Assistant is responsible for coordinating travel for Principal Investigators and for other lab members as well coordinating all aspects of logistics and reimbursements for related travel

Other duties include:
  1. Speaker registrations.
  2. Applying for travel visas.
  3. Creating plane/train itineraries and purchasing tickets online.
  4. Taxi/shuttle reservations, hotel accommodations, date and logistic coordination for multiple-stop trips.
  5. Preparing and submitting all required paperwork for speaker participation and requesting and tracking reimbursements.
Basic Qualifications
Three or more years of related experience. Education beyond high school may count towards experience.
 
Additional Qualifications and Skills
  • College background preferred.
  • The successful candidate will possess strong organizational, interpersonal and communication skills; the ability to multitask and prioritize to meet deadlines; accuracy and strong attention to detail; the ability to take direction, think independently and solve problems.
  • Knowledge of Microsoft Office, including Word, Outlook and Excel.
  • Experience with online travel planning would be an asset (Expedia, Orbitz).
Additional Information
Please note this is a part-time, 25 hours (.71 FTE) per week position.

This is a two-year term position from the date of hire, with the possibility of extension, contingent upon work performance and continued funding to support the position.
