Job Summary

The Administrative Assistant 3 provides executive level administrative support to the Dean of Computer and Cyber Sciences, serves as the first point of contact, responds to a wide variety of situations in a timely manner, and represents the office in the highest professional manner. Responsible for scheduling and coordination of meetings for senior staff and managing travel for members of the office. Maintains P-Card for Department.

Responsibilities

The duties include, but are not limited to:

MEETINGS AND EVENTS: Serves as the primary point of contact for all meetings and events for the Dean of Computer and Cyber Sciences and senior level staff. Maintains the calendar for the School of Computer and Cyber Sciences. Assures accurate and efficient appointment scheduling. Manages rooms, meeting and event logistics for the Nathan Deal Campus.

TRAVEL ARRANGEMENTS: Assist with travel arrangement-for enterprise leadership including preparing/reviewing travel requests, authorizations, expense reports, process registrations and assist with making airline reservations, if needed. Responsible for ensuring compliance with all applicable state and institutional policies. Tracks reimbursement and logs receipts ensuring comprehensive travel records are maintained in accordance with internal audit requirements.

TELEPHONES AND MAIL: Fields telephone calls responding with information when needed or referring calls to appropriate resource when necessary; routes messages accurately and appropriately. Serves as first point of contact for the office for all visitors, reviews and routes mail.

P-CARD: Processes and tracks purchase requests, check requests, and IDRs. Maintains departmental P- Card. Orders & stocks office supplies.

COMPOSE AND PREPARE: Compose, edit, format and type letters, memorandums, reports, charts, requisitions and emails; Proofread documents, maintain files, records and computerized databases. Accurately files documents for future retrieval.

OTHER DUTIES: Performs other duties as assigned.

Required Qualifications

Bachelor's degree from an accredited college or university and two years of progressively responsible administrative support experience

OR

Associate's degree from an accredited college or university and five years of directly applicable experience

OR

High School diploma, GED, or equivalent from a State or Federal accrediting organization and eight years' directly applicable experience.

Preferred Qualifications

Bachelor's degree from an accredited college or university in Business Administration or IT related field and five years of experience working in a high-level administrative support capacity.
Experience working in a higher education organization with a working knowledge of academic programs.
Experience with technology, computer science, or engineering research.

KNOWLEDGE

Knowledge of billing, purchasing and travel concepts

SKILLS

Strong sense of initiative and strong prioritization, organization, multi-tasking, and critical thinking skills in a fast paced, high-pressure environment

Excellent interpersonal, written and verbal communication skills

Proficient in Microsoft Office and other computer software/databases and spreadsheets

ABILITIES

Ability to maintain confidentiality

Ability to maintain a professional demeanor and appearance

Ability to write reports, prepare business letters, emails and summaries with proper format, punctuation, spelling, and grammar using all parts of speech.

Shift/Salary/Benefits

Shift: Days; Monday - Friday

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Conditions of Employment
