The Dental College of Georgia at Augusta University, we provide dental education to the next generation of professionals by offering hands-on education through innovative research, patient care, and service. Join other dental providers to improve the oral health of Georgia and beyond. The DCG was founded to provide the people of Georgia with quality dental care by educating students in dentistry. As a patient, you have the option to receive treatment in one of our three different practice models consisting of student clinics, resident care, or in the faculty practice. All dental treatments can be completed by the specialists in our facility. We also serve patients in more than 20 clinics across Georgia.

Job Summary

Primary responsibility is developing the appointment template in the patient management software (axiUm) for the pre-doctoral, dental hygiene, and select specialty clinics. Responsibilities include managing the pre-doctoral program clinical schedule which includes maintenance of the junior, senior and sophomore clinical appointment template; inputting student rotation changes; publishing semester appointments and monitoring clinic utilization; coordinate, counsel and provide additional training to students and department staff regarding utilization of appointment system. This position will assist with the coordination and administrative efforts as directed by either the PCC lead or Assistant Dean of Patient Services. Communicates with various students by email, telephone and in person to provide information, explain and resolve problems related to scheduling and appointments in axiUm.

Responsibilities

The duties include, but are not limited to:

APPOINTMENT SYSTEM:Collaborates, organizes, and builds the clinical appointment system template for the school's pre-doctoral, dental hygiene and select specialty clinics, including the allocation of reserved chairs to course instructors and Department Chairs for patient care sessions and other special clinical activities. Provides trouble shooting and technical support (user level) to faculty, students and staff regarding appointment system.

ADMINISTRATIVE DUTIES: Keeping the Lead Patient Care Coordinators (PCCs) and faculty informed of clinic utilization; adjusting schedules as needed for students. Complete rotation swaps and adjustments as required

Quality assurance checks on pre-doctoral students' patient schedules to ensure fair use of the clinic is occurring. This will include spot audit checks to potentially identify students who may be misusing the scheduling system.

SCHEDULING: Back up for scheduling emergency patients and responding to their questions in regards to compliance and financial requirements and emergency protocols.

SCREENING APPOINTMENT: Assist students with scheduling special screening patients or their patient population when excused from a scheduled chair release. They will also collect patient data for registering and entering any clinical codes as determined by the screening faculty/PCC.

GENERAL OFFICE DUTIES: Perform other related duties as assigned by the Lead PCC's, Clinical Director of Quality Assurance and Patient Acquisition, and the Assistant Dean of Patient Services to include; Comcon Report, Surcap Report, Retro-fit report, Implant referral clinic assignments, Patient assignments, Process faxes, and Sr. Clearance patient re-assignments.

OTHER DUTIES: Perform all other job-related duties as assigned.

Required Qualifications

High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization with a minimum of three years of progressively responsible office support experience.

OR

Associate's degree from an accredited college or university in a related field may be substituted for experience.

Preferred Qualifications

Graduation from an accredited college or university with a Bachelor's degree in Secretarial Science or Business Administration; supplemented by excellent written and verbal communication skills; five to six years administrative experience allowing for progressive responsibilities in a medical/dental setting. Experiences should include working for multi-providers in an education setting. Proficient in understanding and speaking Spanish. Proficiency with axiUm patient management software.

Preferred Experience
Familiar with managing a multi-provider appointment system and the ability to organize and prioritize tasks.

Pay Band: B3

Salary: Minimum $16.54/hour

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
