College/Department Information

The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.

Job Summary

To provide administrative support for the Department of Orthopedics. Responsibilities included but are not limited to calendar maintenance, clinic and administrative phone coverage, coordinating conferences, travel and leave requests, check requests, observership coordination, coordinating student shadowing, maintain fax machines, PACT maintenance

Responsibilities

The duties include, but are not limited to:

Support Faculty and Staff: Provide administrative support for assigned department faculty and staff, answer telephone lines and assist with ensuring phone lines are always manned during normal business hours.

Prepare correspondence and Manage Mail: Distribute and post mail; assist with preparation of information to patients, faculty, staff, et al as needed including but not limited to patient records and forms, email messages, fax correspondence, and bulk mail preparation.

Maintain Calendars: Maintain calendars as needed; record and report faculty clinic cancellations; assist with coordination and planning of meetings, conferences, workshops as requested by faculty members; provide logistical support during events including registering participants, preparing presentations, etc.

Travel Coordination: Handle travel arrangements and reimbursements including booking lodging, assisting with event registration, and submitting receipts and other documentation required for prompt reimbursements

Administrative Support for Clinical Employees: Ensure and assist with proper maintenance of records; prepare and submit clinic cancellations for approval; complete and submit faculty forms e.g. faculty outside professional activity forms, faculty leave requests and faculty travel authorization request forms

Documentation Preparation and Maintenance: Draft and prepare final versions of correspondence; attend meetings, conferences, etc. to serve as recording secretary; enter and retrieve information from patient charts as needed.

Support Residency Program: Assist Residency Coordinator with coordination of student schedules, student interest group involvement, creations of call schedule and assist with residency program events

Other: Provide back-up support to team members and complete other duties as needed to ensure the goals and plans of the department are realized. Perform other related duties as assigned.

Required Qualifications

High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization with a minimum of three years of progressively responsible office support experience.
OR
Associate degree from an accredited college or university in a related field may be substituted for experience.

Proficient in Microsoft Office and other computer software/databases.

SKILLS

Excellent interpersonal, written, and verbal communication skills.

ABILITIES

Ability to maintain confidentiality.

Shift/Salary/Benefits

Shift: Days; Monday - Friday (Work outside of normal business hours may be required).

Pay Band: B3

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.

Conditions of Employment
