Job Summary

Augusta University's Department of English and World Languages is seeking to fill a full time Administrative Assistant position. We seek individuals who, under general supervision, can provide responsible administrative and secretarial support to the department.

This position works under the direct supervision of the Department Chair of English and World Languages and in close collaboration with the other departments' admins to provide administrative support to the department, faculty, and students. This position supervises student employees in completing their responsibilities.

Responsibilities

The duties include, but are not limited to:

STUDENT SUPPORT: Maintaining records and processing graduation applications, placement test results, portfolios and exit exams, and scholarship applications. Maintaining advising files, assigning advisors, assisting with course registrations, and entering registration permissions.

FACULTY SUPPORT: Maintaining and processing faculty hiring files, including applications and interview materials. Submitting textbook requisitions. Maintaining faculty employment files

DEPARTMENT SUPPORT: Assisting the Chair, Maintaining internship MOUs and department committee lists. Scheduling and maintaining minutes and agendas for department and committee meetings. Assisting with course scheduling and curriculum processes. Scheduling and posting events and meetings. Assisting with department events. Providing back-up coverage for other positions within the department as needed. Managing department website, promotional materials, and social media accounts

OTHER DUTIES: Perform all other job-related duties as assigned.

Required Qualifications

High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization and six years of progressively responsible experience in administrative support positions.

OR

Associate's degree from an accredited college or university in a related field and a minimum of three years of progressively responsible experience in administrative support positions.



Preferred Qualifications

Bachelor's degree from an accredited college or university and five years of experience in an office setting. Self-starter, focused, motivated and highly productive. Experience designing promotional materials, updating websites, or managing social media.

Knowledge, Skills, & Abilities

KNOWLEDGE
Proficient in Microsoft Office and other computer software/databases



SKILLS
Excellent interpersonal, written and verbal communication skills
Detail-oriented with strong initiative, resourcefulness, organizational, time-management, problem-solving, prioritization, and multi-tasking skills.



ABILITIES
Ability to maintain confidentiality
Ability to exercise independent planning, manage priorities, ensure accuracy, and efficiency and timeliness in the delivery of responsibilities.
