What Your Job Will Be Like:

We are seeking an Office Management Assistant

On any given day, you may be called on to:

  • Provide professional administrative support duties with a relatively broad scope to support excluded orgs in Center 800 and organization’s programs, projects, and activities.
  • Manage and coordinate travel arrangements, pre-approval requests, conference attendance requests and prepare expense reports, travel folder, itinerary etc.
  • Apply knowledge of how activities within the Division/Centers integrate with each other and with activities performed outside the organization.
  • Work collaboratively with the SMA, including providing primary backup coverage for one another and partnering to support critical upcoming deliverables and events.
  • Ability to obtain and maintain a P-Card and a Corporate Card. Coordinate and make purchases for the Center as needed with a P-Card and corporate card as well as seeking approvals and completing reconciliations and audit reviews when requested.
  • Provide backup administrative support to the Executive Support Division as needed.
  • Maintain calendars and arrange meetings for managers.
  • Coordinate and support logistical support for various meetings
  • Coordinate incoming visits, including logistics, agendas, badging, clearance, Dbids and MedPED, visit requirements as well as coordinating support with Executive Protocol as needed.
  • Assemble and print materials as needed.
  • Serve as a Primary Property Coordinator for Center.
  • Serve as a TEDS training coordinator for Center.
  • Follow all procedures for the filing and maintenance of sensitive, PII, Proprietary, CUI documents and records.
  • Collect and distribute the mail weekly.
  • Collect and organize information required to perform assigned work.
  • Due to the nature of the work, the selected applicant must be able to work onsite fulltime. Core hours are M-F 8am-4:30p and be willing to work a flexible schedule when required.

Salary Range:

$52,600 - $84,400

*Salary range is estimated, and actual salary will be determined after consideration of the selected candidate\'s experience and qualifications, and application of any approved geographic salary differential.

Qualifications We Require:

Requires high school diploma plus four or more years of directly related experience. To be qualified, the applicant must have passed, based on Sandia specified grades, the Sandia Secretarial tests.

  • Experience in efficient calendar management and organizing meetings both on and off site on behalf of multiple individuals.
  • Demonstrated professional skills including autonomy, effective time management, tact, judgement, courtesy, and initiative.
  • Experience in efficient calendar management and organizing meetings both on and off site on behalf of multiple individuals.
  • Experience working tactfully with high discretion and good judgment in handling sensitive information.
  • Demonstrated ability to manage and prioritize multiple tasks and work independently.
  • Excellent interpersonal and communications skills.
  • Proficiency with common office software for word processing, spreadsheets, presentations, and collaboration.

Required Testing: Applicants must meet the minimum pre-requisites to be scheduled for testing. The applicant will be contacted and scheduled for the next available test date. All applicants must be prepared to test upon application submittal. Once successful testing has been completed, the hiring manager will be notified. Full consideration will not be given to applicants that have not met all of the pre-requisites including testing. Interviews will not be scheduled until the applicant has successfully test-qualified and has been selected by the manager as a top applicant. Passing the test does not guarantee an interview or a selection.If the applicant is not able to schedule testing within the time constraints of the position posting, selection timelines, and the available test dates, they will not be considered for the position. It is imperative that applicants are immediately available for testing in order to provide the best opportunities.Applicants must be proficient in Microsoft Word, Excel, Outlook and PowerPoint. Outlook is used daily.

Qualifications We Desire:

  • Active DOE level security clearance.
  • Two years of experience as an OAA or OMA at Sandia.
  • Post-high school education.
  • Administrative training or certification.
  • Experience executing complex tasks.
  • Experience calendaring large (20+ attendees) meetings and executive level meetings.
  • Property management experience (Oracle Property Management)
  • Have established a strong working network within Sandia.
  • A self-starter, able to accomplish tasks with minimal supervision.
  • Ability to execute a wide variety of assignments and tasks.
  • Familiarity with Sandia policies and procedures and experience using Sandia\'s (FCM/Concur, SWABIZ, Expense Report Plus, Timesheets, JIT, TEDs, and Confluence).
  • Experience organizing different meeting types (virtual/MS Teams, on-site, off-site)
  • Demonstrated ability to interact with all levels of staff and management professionally and positively, both internal and external to Sandia, including other EA’s, SMA’s and office management assistants.
  • Ability to prioritize and coordinate multiple simultaneous requests and communicate status to stakeholders in a constantly changing, dynamic environment.
  • Demonstrated ability managing and prioritizing multiple tasks while ensuring attention to detail.
  • Demonstrated ability handling sensitive, confidential, PII and Sandia Propriety information.
  • A positive attitude and the demonstrated ability to adapt to changing priorities and work well under pressure.

Internal Audit of Environmental Safety & Health (ES&H) and Safeguards and Security provides assurance to Sandia management and the Board of Managers by performing essential independent and objective appraisals, analyses, audits, and advisory services.
