Job Summary:
The Student Conduct Administrative Assistant IV plays a crucial role in supporting the Student Conduct Office by providing administrative support and ensuring the smooth operation of the office. This position involves managing student conduct records for CSN, across all campuses, remote locations, and modalities (in person, online, and remote). Administrative Assistant IV works directly with Student Conduct Officers and coordinates meetings, and assists with communication between students, staff, and faculty.
Position Summary
Under direct supervision, responsibilities include, but are not limited to:
Administrative Support:
Assist Student Conduct Officers in Compiling data, resources, personnel, and information for assigned projects in an effective, professional, and timely manner.
Provide clerical support to Student Conduct Officers related to conduct cases. Manage the calendars of the SCOs including triaging, coordinating, and scheduling all conduct related appointments and meetings.
Coordinate meetings, special events, and consultations upon requests.
Train other full-time and part-time staff members on business processes and student conduct case and database management.
Manage and maintain student conduct records and files, ensuring accuracy and confidentiality.
Coordinate administrative and record-keeping processes that include but are not limited to preparing case files, scheduling investigation meetings, helping to schedule formal hearings, preparing highly confidential case materials, entering information into the case management software program Discipline Document Repositoryand preparing correspondence for parties in each case.
Schedule and coordinate meetings, hearings, and appointments for the Student Conduct Office.
Assist in the preparation and distribution of materials related to student conduct proceedings.
Manage incoming and outgoing correspondence, including phone calls, emails, and mail.
Receive and process confidential reports as needed.
Place & remove disciplinary holds from students accounts as directed by Student Conduct Officers.
Data Management:
Enter and update student conduct data into relevant databases (Discipline Document Repository and Student Information System) and other relevant databases.
Generate reports and summaries related to student conduct issues as requested.
Assist in the development and maintenance of office procedures and documentation.
Compose documents and materials including correspondence, memoranda, reports, charts, and other items in support of program and agency operations; provide and explain information including applicable rules, regulations, guidelines, policies, and procedures; distribute materials to concerned parties according to established distribution lists or on an as-needed basis.
Review documents prepared by others for program compliance; identify discrepancies, resolve problems, and provide guidance to lower-level staff; authorize and approve documents within assigned parameters.
Communication:
First line of response and primary point of contact managing in-person, phone, and email student conduct inquiries, cases, and emergencies.
Answer questions requiring knowledge of student conduct policy, terminology, and processes to assist students, faculty, staff, law enforcement, and government agents expeditiously and effectively.
Manage sensitive and confidential information, inquiries, files, and policy-related matters requiring the utmost discretion, tact, and professionalism.
Provide excellent customer service to our staff and external customers/vendors.
Serve as a point of contact for students, faculty, and staff regarding student conduct matters.
Provide information and guidance on policies and procedures related to student conduct.
Prepare and distribute notices, reminders, and updates to relevant parties.
Assist Student Conduct Officers with projects and assignments; compile and summarize information; compose narrative reports, announcements, correspondence, findings of fact and other materials using appropriate grammar, punctuation, spelling, and syntax.
Office Coordination:
Ensure the office environment is organized and equipped with necessary supplies.
Assist with organizing and executing events, workshops, and training related to student conduct.
Collaborate with other departments and offices to support student conduct initiatives.
Compliance and Confidentiality:
Adhere to all relevant institutional policies and legal requirements regarding student conduct and confidentiality (FERPA).
Maintain up-to-date knowledge of student conduct policies and procedures.
Minimum Qualifications
Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.
Preferred Qualifications
Bachelor’s degree in a related field, OR equivalent combination of education or experience).
Current knowledge of NSHE and policies and procedures.
Ability to exercise independent judgment within defined parameters.
Experience working with a diverse/multicultural student body and/or workforce.
Strong organizational and time-management skills.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
Proficiency working with Maxient or other student conduct record management system
Proficiency working with People Soft (student records)
Ability to manage sensitive information with discretion and maintain confidentiality.
Detail-oriented with the ability to manage multiple tasks and priorities.
Must be able to work independently and as part of a team.
Starting Salary
Grade 29, Step 1 - $50,153.76
Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
