The Department Coordinator II will provide a courteous and seamless experience for patients that are being seen in the 550 Clinic. The Department Coordinator II will be responsible for answering all telephone calls and triaging requests to the appropriate clinic staff, as well as addressing patient issues and concerns as appropriate. The Department Coordinator II will perform check in procedures, check out procedures, and patient scheduling. This position will process requests for medical records, lab requisitions, referrals, and other medical forms. As part of the Ryan White Program, the Department Coordinator II will assist with appropriate data entry as assigned. It will also collaborate with providers and the Ryan White Data team to monitor and address patient adherence and no-show follow-up.
Essential Duties and Responsibilities
Verify patient ID and demographics (current address, insurance info, etc. – obtain copies of insurance card & valid ID if not scanned in system or if changes) at each medical visit.
Scan Insurance card & other documentation into patient’s EPIC Chart.
Provide New Patients “First Visit/Annual Consent” Forms & Refer to Intake Team.
“Arrive” Patients in EPIC EMR and update any information as necessary.
Enter primary care data and appointment information into Provide Enterprise Database.
Answering all incoming calls for the 550 Clinic, and address patient concerns or pass to appropriate staff member or provider.
Maintain updated training including EMR requirements, HIPAA as required by grant and UofL.
Checking out patients scheduled for visit.
Schedule Patient follow-up appointments for all clinics.
Keep record of “NO SHOWS” list of the schedule of each provider each day and coordinate with Linkage Coordinator for follow-up.
Call patients to reschedule “No Show” patients.
Scan all Medical records (Preferably 48 hours before visit).
Other administrative duties as required or assigned by the Clinic Manager.
Target Compensation Maximum:
$24.77Target Compensation Minimum:
$16.51Compensation will be commensurate to candidate experience.
