College/Department Information
The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.
Job Summary
The Program Manager will assist in the development and sustainability of an Peach State PGY-Pathway. Lastly, they will provide administrative support for the Assistant Dean for Curriculum-PGY-1 Pathway.
Responsibilities
The responsibilities include, but are not limited to:
Provide Operations and Programming Support for the MCG 3+ PGY-1. Duties involved include:
  • Coordination of 3+ PGY-1 Pathway related meetings (reserving rooms, sending meeting invitations, ordering food).
  • This typically includes two 'Introduction to Pathways' meetings in the fall, 4-5 monthly meetings for the PGY-1 Pathway Interest Group from October-March, and a Peach State Scholars social in the early 2nd semester (Jan-Feb) but is subject to change.
  • Coordination of quarterly 3+ PGY-1 Pathway Leadership Committee meetings and keeping of meeting minutes.
  • Assisting with coordination of student schedules for Career Paths weeks in collaboration with residency programs, regional campuses, and specified community sites. Securing AHEC housing if needed and facilitating the completion of any necessary credentialing paperwork for these shadowing experiences.
  • Collection ad tracking of Pathway applications.
  • Coordination of 3+ PGY-1 Pathway interviews (interview with designated program director and panel interview with selected faculty), collection and distribution of interview evaluations.
  • Coordination of Pathway selection committee meeting to review applicants and make acceptance decisions.
  • Sending out required contracts and forms to newly accepted students and collecting completed documents.
  • Assisting students with line of credit applications and collaboration with Georgi's Own Credit Union or other designated financial institutions to secure each student's proof of alternate financing.
  • Planning the annual Pinning Ceremony for newly accepted Peach State Scholars (summer of Year 2) in collaboration with the Office of Philanthropy and Alumnae Engagement, the Office of Government Relations, and the MCG Foundation.
  • Assisting students with clinical curriculum coordination (clerkship and enrichment schedules) in collaboration with Curriculum Office and regional campus leadership.
  • Assisting with coordination of students longitudinal experience schedules (weekly half days with declared residency programs during the clerkship phase).
  • Communicating any student pathway changes to the Registrar and Financial Aid Offices.
  • Sending out student evaluations (Program Evaluation of Performance) to residency programs and tracking for completion.
  • Communicating with the GME office, residency program directors, and students to ensure correct NRMP program codes are in place prior to the match.
  • Sending our annual evaluations of Peach State Scholars during residency.
  • Tracking of Peach State Scholars alumnae following residency to verify fulfillment of service commitment.
  • Coordination with the Office of Admissions to schedule webinars and/or meetings with applicants signaling interest in 3+ OGY-1 Pathway.
  • Other duties as assigned by the Assistant Dean for Curriculum; PGY-1 Pathway to support established goals.

Provide support for Development of Affiliations with Community-based Residency Programs. Duties involved include:
  • Assisting students with travel documents to cover visits to regional campuses to visit community-based residency programs.
  • Assisting with coordination of travel and shadowing experiences with community-based residency programs on regional campuses, including securing AHEC housing if needed and facilitating the completion of any necessary credentialing paperwork for these shadowing experiences.
  • Coordination of 3+ PGY-1 Pathway interviews for students applying to community-based residency programs on regional campuses, and collection and distribution of interview evaluations.
  • Sending out student evaluations (Program Evaluation of Performance) to community-based residency programs and tracking completion.
  • Communicating with the community-based residency program directors and students to ensure correct NRMP program codes are in place prior to the match.
  • Coordination with the Office of Admissions on evaluation of regional campus-accepted students for early acceptance to the 3+ PGY-1 Pathway for community-based residency programs.
  • Other duties as assigned by the Assistant Dean for Curriculum: PGY-1 Pathway to support established goals.

Provide administrative support for the Assistant Dean for Curriculum: PGY-1 Pathways in the following ways:
  • Assist in the day-to-day operations and ongoing programming.
  • Complete documentation related to requests including travel, purchase orders, and reimbursement as directed by the Office of Academic Affairs Operations Office.
  • Maintain the budget for the 3+ PGY-1 Pathway.

Required Qualifications
Associate's degree or completion of 2 or more years of education from an accredited college or university and a minimum of 6 years of applicable experience to include at least 3 years in an academic setting.
Knowledge, Skills, & Abilities
Excellent customer service, interpersonal, multi-tasking, organizational and verbal/written communication skills
Proficiency with Microsoft Office and other computer software/databases.
Ability to coordinate multiple projects simultaneously, meet deadlines despite often interruptions, maintain confidentiality, keep accurate records and make independent decisions.
Ability to effectively interact in person and by email with prospective/ current students, parents, faculty, staff and administration.

Pay Band: 7
Salary: $20.29 - $25.34/hour
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
