Job Function:

Provide support in the overall accounting functions of the Ball State University Foundation and related entities.

Minimum Education:

Bachelor’s degree from an accredited institution. An associate’s degree and two years of related experience will be accepted in lieu of a bachelor’s degree.

Minimum Experience:

At least two years of experience in computer systems, accounting applications and related software, and databases.

Preferred Experience:

Knowledge of/experience with not-for-profit organizations and fund accounting.

Duties and Responsibilities:

Prepare daily contribution summaries for Ball State University Foundation and all related entities, ensuring consistency of data between the donor database and accounting software.
Review and approve accounts payable invoices and maintain vendor account files for the Ball State University Foundation and all related entities.
Provide support in preserving separation of duties in the daily cash and investment processes to ensure the accuracy of the accounting records for financial and tax reporting.
Evaluate and develop daily accounting system transactions, including but not limited to recurring entries relating to accounts payable, investments, annuities, and trusts.
Prepare account reconciliations as assigned.
Provide support with recording and reconciling the accounting transactions for Cardinal Properties.
Serve as the main point of contact for BSUAA (Ball State University Alumni Association) financial activity and respond to questions from BSUAA.
Ensure the annual production of 1099’s for the Ball State University Foundation and all related entities, which includes oversight of all W-9 forms throughout the year.
Manage unclaimed property, monitor and file under the direction of the Controller.
Collaborate with the Controller/Assistant Controller to prepare information related to Form 990 and any related returns for Ball State University Foundation and all related entities.
Collaborate with the Controller/Assistant Controller to prepare information related to the audit for the Ball State University Foundation and all entities.
Perform other related duties as assigned.
