College/Department Information
The Immunology Center of Georgia (IMMCG) represents a new initiative by the Medical College of Georgia at Augusta University to leverage the ability of the immune system to combat disease. The IMMCG will accomplish this by assembling teams of biomedical researchers with strong records of scientific innovation and technological development. The IMMCG will be co-directed by world-class immunologists Drs. Catherine `Lynn' Hedrick and Klaus Ley, both of whom have made major discoveries linking immune cells to specific mechanisms of disease. The goal of the IMMCG is to produce novel and effective treatments for conditions that heavily impact the communities of Georgia and the United States. The new center is aggressively recruiting faculty and staff to lead projects focused on cardiovascular disease, obesity and metabolic disorders, autoimmune and infectious disease, neurodegenerative disease and cancer.
Job Summary
This position will report to the Department Administrator. The position assists the Administrator in conducting the administrative, financial, and educational missions of IMMCG. The individual will assist the Administrator with managerial planning and administration of finances, facilities, and the review and implementation of departmental and institutional policies and procedures. Responsible for maintaining and reporting the Department Administrator and financial data. This position will provide direct supervision and assist in staff oversight.
Responsibilities
Responsibilities to include but not limited to:
Business Planning
Assist, manage, and help oversee the business planning for IMMCG, monitoring accounts for progress toward agreed upon allocated funding resources and submitting changes needed to correct allocations. Assist in preparation of original budget planning. Compile the data and utilize data to build the projection worksheets for the upcoming fiscal year. Analyze the data to determine if P.I.'s will meet or exceed their allocations. Ensure that all faculty, staff, and students are assigned to correct dist. by entering ePARs as needed. Assist and manage all personnel and non-personnel budgets throughout the year. Approve requests related to purchases. Work with MCG Financial Operations to monitor expenditures and ensure proper allocation of funds throughout the budget year. Assist with establishment of various accounts with the MCG, AUMA, and Foundations providing monthly oversight. Verify monthly that expenditures and accounts are accurate, funds are allocated appropriately. Submit ePAR transactions to correct any salary distribution discrepancies to ensure compliance with policies and procedures. Prepare budget analysis, compile and report statistical data to the Administrator and the MCG Operations Fin Dir. and manager. Review and authorize proposed grant and state budgets.
P-card authorization
P-Card Authorizer for IMMCG. Responsible for approval of purchases for all P-Card employees within IMMCG. Responsible for initiating and submitting payments for approved purchases, shipping, conference registrations, and ensuring that all purchases are in compliance with State and institutional requirements. Maintains receipts and invoices for p-card purchases. Reconciles Bank of America statement with purchase receipts and submits to the Department Administrator for signature and audit as needed. Maintains P-Card purchase records and bank statements.
Travel
Oversee all Travel Authorizations and Travel Expense Statements ensuring all state policies are adhered to; must stay current on all new policies and procedures and communicate to faculty and staff.
Processes all service agreements/reimbursements for weekly External Seminar Speakers and ongoing Faculty Recruitment activities.
Training & Compliance
Overseees Center compliance with Augusta University policies and procedures on all lab orders, IDRs, P-Card purchases, Check Requests and any other expenses.
Educates departmental faculty, students and staff on Augusta University policies and procedures regarding eShop and P-Card usage via hands-on training sessions.
Effort & time
Assists with Effort Reporting, Timekeeping/Payroll, Inventory (Computer and Capital Asset) and Budget duties for IMMCG. Position is the sole backup support person for the Department Administrator.
Supervision
Provide direct supervision to Administration Assistant staff.
Other
All other duties as assigned.
Required Qualifications
Bachelor's degree from an accredited College or University in Business or related discipline and two years of administrative and management experience.
Knowledge, Skills, & Abilities
Proficient in Microsoft Office and other computer software/databases.
SKILLS
Excellent interpersonal, written, and verbal communication skills.
ABILITIES
Ability to maintain confidentiality.
Shift/Salary/Benefits
Shift: Days; Monday - Friday (Work outside of normal business hours may be required).
Salary: $62,300-$75,000 annually.
Pay Band: B12
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
