Job Summary
The Education Program Specialist will provide administrative academic support for the Physical Therapy program by supporting the admissions and recruitment process. As well as providing student support, assisting with course management and program evaluation.
Responsibilities
The duties include, but are not limited to:
ADMISSIONS SUPPORT:
- Serve as the primary point of contact for applicants and prospective students, providing information
on admission requirements, status updates, and program details. Respond to inquiries from
prospective students via phone, email, and in-person meetings. - Review applications for completeness and accuracy providing feedback to applicants when needed.
- Evaluate prospective student transcripts through grade conversion and GPA calculations, create and maintain applicant files for review by the Chair, Program Director (PD), and admissions committee,
ranking applicants based on established criteria. - Update and maintain Excel spreadsheets to track applicant characteristics, qualifications, and
admissions data. - Coordinate with the admissions team to ensure timely processing of applications. Present
Admissions updates at bi-monthly faculty meetings. - Coordinate the end-to-end admissions process, scheduling interviews, maintaining applicant
databases (PTCAS, Slate, WebAdmit), and ensuring timely progression of applicants to meet annual cohort goals. - Collaborate with Graduate Admissions to ensure seamless data integration between Slate and
PTCAS, addressing applicant-specific issues and updating systems as needed. - Host virtual meetings with new cohort to provide essential details and address questions.
- Maintain student records, track enrollment data and prepare semesterly and annual reports for institutional use.
- Troubleshoot and resolve issues with PTCAS and Slate systems to maximize efficiency and enhance applicant experience; update the PTCAS website annually.
- Serve as a member of the DPT Admissions Committee.
- Export data from PTCAS and Slate to create and maintain reports; compile this information and present it at admissions committee meetings.
- Oversee correspondence with incoming learners throughout the spring and summer, ensuring they receive all necessary information ahead of their arrival.
RECRUITMENT:
- Participate with the Admissions Committee in recruitment events and information sessions. Develop and maintain relationships with feeder schools, community organizations, and other key
stakeholders. - Participate in recruitment events on/off campus providing detailed information about program, admission requirements, and application process.
- Assist in promoting the DPT program by creating recruitment fliers, communicating with undergraduate advisors, delivering occasional department tours, and supporting website maintenance as needed.
EDUCATIONAL SUPPORT:
- Submit required data for all courses in the curriculum inventory and class rosters in Banner to the Registrar's office each semester for DPT and Residency programs.
- As directed, perform overrides in Banner to enable students to register for courses; coordinate classroom services to ensure that all courses have allocated classroom space.
- Submit student withdrawal and add/drop forms.
- Notify students of the registration instructions, including dates, location, CRN numbers, and credit hours. Track requirements for registration.
- As directed, create CRNs, curriculog proposals, and submit data and reports as requested.
- Plan and execute orientation in August, including creating a detailed schedule, agenda, and
informational handouts. - Collaborate with various University departments to disseminate relevant information to the new cohort and schedule presentations by these departments during the orientation program.
- Member of the Learner Activities Committee, supporting the planning and facilitation of engaging activities for learners.
- Maintain learner mastery files, overseeing students as they complete the remediation process. Assist incoming and current learners with the procurement of ID badges, immunization compliance, CPR compliance.
- Maintain and update both electronic and physical learner files, including emergency contacts,
semester GPAs, ensuring accurate records.
ADMINISTRATIVE SUPPORT:
- Provide general administrative support to the Program Director and faculty members as it relates to the academic mission.
- Assist in planning academic events and meetings, including food orders and other logistics.
- Liaison with the JAG store; Distribute updated textbook lists to students.
- Maintain department phone calls and voicemails; Greet and assist department guests.
- Coordinate with the Department Chair to enhance alumni engagement, maintain the alumni
Facebook page, and capture event photos for use on social media and the website. - Assist faculty by proctoring learner exams.
OTHER DUTIES: Perform all other job-related duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university in education or an applicable field with a minimum of two years of experience with online educational programs, courseware development, or related experience.

Bachelor's degree from accredited college or university.
Preferred Experience
Preference given to individuals with experience in Banner, Xtender, Reporting systems. transfer articulation or other student information systems. Experience in databases and administrative support.
Knowledge, Skills, & Abilities
KNOWLEDGE
Proficiency with Microsoft Office and other computer software/databases.
Working knowledge of the PTCAS application system, Banner, SLATE, and AU admissions processes
SKILLS
Excellent customer service, interpersonal, multi-tasking, organizational and verbal/written communication skills
Requires high-level managerial skills, problem-solving, coordination with all stakeholders, and organization skills.
